Rentals Manager

Signature Theatre, one of New York’s leading off-Broadway theatres, is seeking a Rentals Manager to support the booking and execution of rental events.

The Rentals Manager position if a full-time position, starting immediately. Salary is commensurate with experience, and benefits include Health, Dental, Vision, FSA and a commuter plans as well as a 401(k) plan.  

Reporting directly to the General Manager, the Rentals Manager develops and stewards rental relationships from initial inquires through event completion.

Responsibilities include: 

  • Assisting with the development of rental business strategies, budget projections, and ongoing program development
  • Outreach to event planners and potential rental clients
  • Conducting ongoing venue research, comparison data, and related projects
  • Collaborating on rental marketing and promotional efforts
  • Responding to inquiries, conducting site tours, and providing information to renters about Signature’s space and amenities
  • Drafting event estimates and negotiating contracts
  • Managing rental and building events via Artifax, the organization’s facility management software
  • Tracking receipt of contracts, payments, insurance, production plans and schedules, marketing and display materials, and ticketing information
  • Communicating rental bookings and event details across Production, Facilities, Marketing and Audience Services departments, as well as the Signature Café and caterers
  • Establishing and maintaining relationships with external vendors
  • Assisting with other rental administrative duties, as needed


The ideal candidate will be a strong team player who works well under pressure, provides stellar customer service, and possesses great attention to detail with strong organization, written, and interpersonal skills. Professional experience in special event planning, rental or theatrical management, or other comparable experience and knowledge of the NYC corporate meeting/special events scene and industry contacts is desired. Familiarity with Artifax is a plus.

This is a full-time non-exempt position, eligible for overtime. Must be available to work evenings and weekends. Salary commensurate with experience. Assistant Facilities Manager

Signature Theatre, one of New York’s leading off-Broadway theatres, is seeking a motivated, detail-oriented Assistant Facilities Manager.

Reporting to the Facilities Manager, the Assistant Facilities Manager assists in all aspects of operating and maintaining the center. The Assistant Facilities Manager supports the facilities, administrative, production, and rental departments with day-to-day operations and minor projects, working to ensure facilities functions are incorporated effectively into the performance and events schedule, while maintaining and emphasizing facilities policies and procedures.  

We’re looking for someone who possesses: 

  • Desire to help manage the operations of a large, multi-use facility
  • Strong communication/interpersonal skills and comfort interfacing with staff, leaders and vendors
  • Willingness to ask questions
  • Self-motivated with excellent problem-solving skills and an eye to detail
  • Ability to learn and convey technical information to a non-technical audience
  • Willingness to learn or has a basic knowledge of:
    • Automated BMS, CCTV (CMMS) trouble ticket systems
    • Building/mechanical, electrical systems (MEP)
    • Construction/MEP drawings
    • HVAC systems
    • Building codes
    • Microsoft Office Suite
    • Basic Electrical and Plumbing
  • Exposure to theatre operations preferred


Responsibilities Include:

  • Working with the Facilities Manager to ensure the operations and maintenance of the building are efficient and in compliance with policies, procedures and fires and safety codes.
  • Assisting with onsite technical issues for building/mechanical, electrical systems (MEP).: daily trouble response, problem solving, investigation and diagnosis, and corrections of system problems.
  • Coordinating external vendor and maintenance scheduling. Including HVAC, BMS, electrical systems, plumbing, security, elevators, waste, cleaning, and fire safety systems.
  • Assisting with the management of security team, maintenance personnel, and on-site contractors.
  • Working with Production, General Management and Rental departments to coordinate resources and address challenges pertaining to theatre productions and operations.
  • Generating and assigning tasks list to porter and cleaning staff.
  • Coordinating facilities day-to-day operations.
  • Managing invoicing system, including tracking, scanning, filing and organizing documents.
  • Responding to off-hours emergencies, reporting to the site when required.
  • Assisting in management of construction and other projects as they arise.
  • Coordinating and managing supply ordering.
  • Managing keycard, security CCTV, security tracking systems.
  • Scheduling HVAC for all activities in the building.

Security Officer

Signature Theatre, one of New York’s leading off-Broadway theatres, is seeking an experienced, organized, detailed Security Officer for our Frank Gehry-designed, 75,000 square foot center comprising three theaters, two rehearsal studios, a public lobby with a café and bookstore, and administrative offices.

Reporting to the Security Supervisor and to Facilities Management, the Security Officer assists in overseeing all aspects of the Center’s safety and security needs, ensuring the building runs efficiently and in compliance with policies, procedures and codes. The Security Officer will assist with on-boarding, supervising and training security vendor officers.

Responsibilities include:

  • Open the Center at beginning of building operations
  • Secure building at the end of operations
  • Carry out security bag check
  • Tour mechanical rooms and all doors, inspecting equipment, and access points
  • Reporting all security and safety concerns to Security Supervisor /Facilities Management
  • Responding immediately to emergencies to provide necessary assistance to employees and guests, while also communicating with Security Supervisor /Facilities Management
  • Patrolling public premises regularly to maintain order and establish presence
  • Directing and escorting deliveries, vendors and guests around the Center
  • Managing keycard, security CCTV, security tracking systems
  • Assisting with supervising outside venders Officers
  • Assisting with enforcing security policies and procedures.
  • Assisting with the coordination between Security Vendor Officer and Signature Theatre
  • Attending monthly security meetings
  • Building relationships with the neighborhood NYPD and FDNY sectors
 

Required Certifications:

  • Valid New York State Department of State Security Guard License

Desired Certifications:

  • CPR, AED, and First-Aid
  • Indoor Place of Assembly Safety Personnel (FDNY F-03)
  • Supervision of Fire Alarm Systems and Other Related Systems (FDNY S-95)
  • Active shooter training

Desired Skills and Qualifications:

  • Minimum four years’ experience in a security supervisor role
  • Customer-service experience
  • Knowledge of CCTV systems
  • Knowledge of NY fire safety codes and laws
  • Knowledge of Building Fire suppression systems
  • Demonstrated written and verbal communication skills
  • Comfort with MS Excel, Word and Office
  • Theater venue experience preferred
