Tessitura and Database Manager

Signature Theatre, one of New York's leading Off-Broadway theatres, seeks a full-time Tessitura and Database Manager. The Tessitura and Database Manager will provide leadership for the organization in their use of the Tessitura CRM software. This position reports directly to the Director of Marketing and Audience Services, and will be a vital member of the team in ensuring proper utilization and growth of data-driven initiatives. The Tessitura and Database Manager will interact closely with all departments, including Marketing, Development and Finance, in establishing best-practices for effective uses of Tessitura.

Responsibilities include, but are not limited to:

  • Lead all Tessitura efforts throughout the organization
  • Interpret analytics and providing data-driven business solutions
  • Provide decision support for management on marketing and development strategies, through automating daily tasks and creating custom reports
  • Oversee database infrastructure as well as providing technical support and administration
  • Maintain and monitor style guides and standardization for data entry
  • Facilitate generation of lists, advanced data extractions, custom reports and ad hoc queries
  • Verify the accuracy of system data and monitoring resolution of data faults and errors
  • Support third party applications that interface with Tessitura including Web API, Artifax Event, T-stats, Word Fly, and N-Scan
  • Develop and document processes and procedures to educate and train staff and inform IT support
 

Candidates should possess a college degree with a focus in IT or comparable professional experience. Minimum 2 years experience with progressive responsibilities as an advanced Tessitura user, working directly with end users, is required. Proficiency with Microsoft SQL Server and SQL Server Reporting Services, writing SQL queries and stored procedures is strongly preferred.

Management Assistant

Signature Theatre, one of New York’s leading off-Broadway theatres, is seeking a Management Assistant to support its Executive Director.

The Management Assistant will play a key role in the Company, acting as a liaison with all senior staff, Signature's Board of Trustees, patrons, funders, and artists. This is a full-time position, starting immediately. Salary is commensurate with experience, and benefits include Health, Dental, Vision, FSA and 401(k) plans.

Responsibilities include:

  • Supporting the ED in day-to-day management of a $13M+ institution, across all departments including production, marketing, general management, development, finance, IT, and facilities
  • Representing and/or assisting the Executive Director in meetings and events, and via phone, email, and written correspondence
  • Heavy calendar management and scheduling for both internal and external meetings and scheduling Board of Trustee and Board Committee meetings
  • Researching and/or gathering data from departments to assist in meetings and events
  • Preparing materials for the Board of Trustees and Board Committee meetings and serving as a point of contact for the Board of Trustees
  • Project managing priority initiatives
  • Supporting the Executive Director in fundraising activities
  • Helping support the functions of the general management department


This position also co-supervises the volunteer internship program which includes coordinating the application process and organizing seminars for the interns.

This position requires candidates to possess the following:

  • Three years of office administration, or equivalent experience in supporting an organization's leader is preferable
  • Experience working in a high-paced environment, with major partners
  • Professional demeanor: ability to work and collaborate with a diverse range of people, including the ability to be an ambassador for the Executive Director and the organization
  • Exemplary interpersonal skills with proficiency in multi-tasking and a dedication to details and follow-up

Knowledge of Microsoft Office and experience with Tessitura or other databases is a plus.

Director of Individual Giving and Development Operations

Signature Theatre, one of New York’s leading off-Broadway theatres, is seeking an experienced, creative, and entrepreneurial Director of Individual Giving and Development Operations to supervise Signature’s annual individual fundraising efforts.

The Director of Individual Giving and Development Operations will be responsible for overseeing the successful execution of a rapidly-growing Patron Program and all of its commensurate benefit fulfillment, and coordinating Major Gift fundraising, including Moves Management practices and development of cultivation strategies; managing the Tessitura database operations; overseeing the solicitation and acknowledgement process for all Individual donors; developing multi-channel annual appeals in conjunction with Marketing; and is responsible for any other Individual Giving activities that may arise. This position reports to the Director of Development and supervises an Individual Giving team of three.

  • Supervising the creation and distribution of all Patron communications and collateral
  • Participating in the execution of department events, ranging from Patron cultivation activities to the annual gala
  • Providing Development revenue and projection reporting for Individual Giving fundraising
 

Working with, and supporting the activities of the Board of Trustees Development Committee and Patron Program Chair to grow Individual contributed income Candidates must be highly organized, detail- and deadline-oriented, and should hold a Bachelor’s degree, or above.

Candidates should also possess at least five to ten years of progressively responsible experience in Development, with experience in Major Gifts fundraising. The ideal candidate will have demonstrated management and leadership skills, and possess a high degree of comfort interacting with donors at all levels. Preference is given to candidates who have demonstrable experience advocating for equity, diversity, and inclusion. Candidates should be adept at using MS Office tools as well as donor database systems, preferably Tessitura.

Development Assistant

Signature Theatre, one of New York's leading Off-Broadway theatres, is seeking a Development Assistant to play a key role in the Development Department in providing administrative support across the department. This is an ideal position for someone early in their career in development and arts administration.

Reporting to the Director of Individual Giving & Development Operations and Director of Institutional Giving and supporting the entire Development Department, this position’s responsibilities include:

Requirements:

  • Providing department-wide administrative and project support, including managing the department budget and petty cash, upkeep for department files and supplies, and maintaining software and resource subscriptions
  • Assisting with Patron communications, including e-blasts and appeals and provides support with mailings
  • Updating donor pages and development content for Playbill, Signature website, and other publications
  • Supporting gift processing in Tessitura and timely donor acknowledgement
  • Conducting the department’s financial reconciliations with Finance department
  • Assisting in preparations for Board and Committee meetings (including minute-taking) in coordination with the Management Assistant
  • Supporting all cultivation and special events, including the annual gala
  • Responsible for ongoing donor prospect and event attendee research
 

Candidates must have a Bachelor’s Degree or above, and at least one year of relevant administrative experience, preferably at a not-for-profit arts organization. Candidates should be highly-organized and able to prioritize work based on multiple assignments with extremely tight deadlines. Experience with Tessitura or similar database is preferred. The ideal candidate will have excellent written/verbal communication skills, be a strong strategic thinker and possess exemplary attention to detail.
